How to create a Google Sheets document with your Reports

What it is

From the Reports section you can create a Google Sheets document with your games' results and open it straight in your Google Drive. It's a living spreadsheet: whenever you want the latest data, you press a button inside the document itself and it updates on its own, without going back to Educaplay.

It's available with an Academic plan or Commercial plan.

How to create it

  1. Go to Reports and set up what you want to export: choose the tab (Players or Games), apply the filters and pick the date period (for example, Last week).
  2. At the top right, click Open in Google Sheets.
  3. Choose the Google account you want to create the document with and, the first time, authorize access.
  4. Educaplay generates the document and opens it in a new tab. It's saved in that account's Google Drive.

What it contains

The document is organized into several sheets:

  • Summary: the period's metrics (average score, attempts, activity) and a chart.
  • Results: each match played, with its score and time.
  • Answers: the question-by-question detail, with the answer each player gave.
  • Errors: the questions players fail most.

It respects the filters you had in Reports, so it exports exactly what you were seeing.

The Refresh data button

At the very top of the document you have a green Refresh data button. It brings in the latest results without going back to Educaplay or generating a new document. What it does depends on how you chose the dates in Reports:

  • If you chose a relative period (Last year, Last month, Last week or Last day), it shifts the date window. For example, with Last week, if you press it two days later, it removes the results from the days that have dropped out and adds those of the two new days.
  • If you chose two specific dates with the Date button, the period is fixed and the button doesn't change what you see.

Things to keep in mind

  • You need a Google account to create the document.
  • If your account has a great many plays, generating the document can take a little while.
  • If you press Open in Google Sheets again for the same query, the same document is updated instead of creating a new one.

Frequently asked questions

Do I need a specific plan?

Yes. Creating the Google Sheets document (and downloading the Excel file) is available with an Academic plan or Commercial plan.

Does it update on its own?

Not automatically. The data refreshes when you press Refresh data inside the document.

Does it work with any date period?

Yes. Just remember that Refresh data shifts the period when you chose a relative one (last week, last month…) and doesn't change it when you set two specific dates.

What about downloading an Excel file?

With the Download all button (or Download, when you have something selected), next to Open in Google Sheets, you get the same data in an Excel file. You'll find the details in Reports: what they are and how they work.
