My guests: what they are and how they work

What they are and what they're for
My guests lets you create profiles for your regular players without them having to sign up for Educaplay. You choose each guest's name, and they get in with their code, their link or their QR code. This gives you four things:
- Save scores without signing up: every game the guest plays is recorded in the profile you created, and you see it in your Reports.
- Organize and assign: put your guests into groups, for example by class, and assign them games and lists.
- Control access to your games: with the editor's Visibility and Player identification options (or in Customize games globally) you can make your games visible or playable only by your guests.
- Supervise game creation: your guests can create games without signing up, but they can't publish them directly: they send them to you so you decide whether to publish them.
Creating guests
- In your Educaplay account, go to My guests and click Add guest.
- Choose how to create them:
- Amount: enter how many you want, up to 50 at once. They are created with the name "Guest" and you can change it later from the list. It's the fastest option if you don't know yet who will use each code.
- List of names: paste your list, with one name per line or separated by commas or semicolons. Up to 500 at once.
- Import file: upload a CSV or Excel (.xlsx) file. The first column is used, up to 500 rows.
- If you want, tick one or more groups for the new guests.
- Confirm with the create button.
If you ask for more guests than your plan allows, the first ones that fit are created.
Giving each guest their access
Each guest has three ways to get in, and all three lead to the same profile:
- Guest code: nine letters, for example PCT-LYD-MHG. It is typed in Log in, under guest access, or on the game screen. Upper or lower case and dashes don't matter.
- Direct link: opens a screen that confirms which name they are about to enter as.
- QR code: leads to the same link, designed for phones and tablets.
In My guests, click Share access on a guest to copy their code or link, download their QR code or download their card. If you select several guests, Download cards gives you a printable PDF with 1, 4 or 8 cards per sheet. Download list gives you an Excel file with each guest's name, code, link and groups.
The code is personal: anyone who has it can play as that guest. Once in, the guest finds their code, link and QR code in My access, so they can get back in another day from any device. When a game requires entering as a guest, only its creator's guests can access it.
Names, initials and privacy
The name you give a guest is seen only by that person and by you: publicly, only their initials are shown. For example, "María López" appears to everyone else as "ML". You always see the full name in My guests, in your Reports and in rankings.
If you want your guests to see their classmates' full names in a game's ranking, set the game's Visibility to Guests Only and turn on Show names. Only the guests invited to that game will see them.
Educaplay does not need personal data from your guests: they are not asked for an email address or a password.
Groups
Groups help you organize your guests, for example by class or by year. A guest can be in several groups or in none, and deleting a group does not delete its guests. You can filter the list by group, see the ones with No group, and use groups to assign games and to filter your Reports.
Assigning games and lists
You can assign your games and lists to one guest, to a group or to All my guests. If you choose all of them, guests you add later will see them too.
- From My guests: click Assign games on a guest or on a group.
- From your games and lists: use Assign to guests.
When a guest opens your profile, they see the games Assigned to me by default, and can switch to All. If you assign them a new game or list, Educaplay lets them know the next time they get in.
If you also want a game to be visible only to your guests, set its Visibility to Guests Only. This option requires the Academic Plan or the Commercial Plan. In Customize games you can choose which guests your games are assigned to by default.
Where the scores are shown
In the Reports section of your account, where you can keep only your guests and filter them by group. Also, in My guests a reports button appears next to each guest who has already played at least one game; clicking it takes you straight to the summary of their scores. The guest's avatar appears grey while they haven't used their code, and green once they've got in for the first time.
You get a notification when a guest gets in for the first time and when they play one of your games. Guests, for their part, can check their results in My scores. You'll find the other ways to identify your players in How your players' scores are saved.
How guests create games
Guests are a good way for your students to learn by creating, without having to give an email address and with you keeping control of what gets published.
Guests create games like any registered user, with two differences: they can't use Ray and, instead of the Publish button, they have the Send button.
When a guest clicks Send, two things happen at once:
- You receive a notification. You can view the game from the notification or from the guest's profile in My guests.
- A draft of the game is saved in the guest's profile, which they can use as a basis to send you a new version with changes.
If you're happy with it, you can create a draft of that game in your own profile and publish it as your own.
Limits by plan
- Basic Plan and Advanced Plan: up to 5 guests.
- Academic Plan and Commercial Plan: unlimited guests and the option to restrict games so they're only visible to your guests.
Guests API
If you manage a lot of guests, you can create and administer them programmatically with Educaplay's guests API, instead of doing it in the interface. It lets you create up to 500 guests in a single request from a list of names, manage groups and get each guest's code, link and QR code. It's available on the Academic and Commercial plans, both individual and Team. You'll find the documentation at api.educaplay.com/docs/, also linked from Developers in Educaplay's footer.

What is My guests?
A feature that lets you create profiles for your players without them needing to sign up. You give them a guest code, link or QR code and all their scores are linked to the profile you created.
How many guests can I create?

How do I give a guest their access?

Who sees my guests' names?

Can I organize my guests by class?

Can I restrict my games so only my guests can play them?
Yes, with the Academic Plan or the Commercial Plan. In the game editor (or in Customize games, globally) set Visibility and Player identification so that only your guests can access them.
What happens if I delete a guest?
Their account and their results are deleted too, and their code stops working.
